Create curated tour and event booklets for crew, venues, promoters, and external partners.

Booklets & Sharing

Booklets are shareable views of tour or event information. They let you send the right details to crew, venues, promoters, or other partners without giving them full workspace access.

Booklet Types

Booklets can include schedules, venue details, hotels, contacts, crew, production data, notes, documents, and other selected sections depending on the source.

Creating a Booklet

You can create booklets from the global Booklets area or from a tour or event detail page.

When creating a booklet:

  1. Choose the tour or event context
  2. Select which sections to include
  3. Attach relevant documents
  4. Add an optional note
  5. Choose the language and time format
  6. Set the access policy

Content Controls

Booklets are intentionally selective. Use the content editor to include only the details the recipient needs.

Common examples:

  • A venue packet with schedule, contacts, production, and documents
  • A crew packet with day sheet details, hotels, travel, contacts, and notes
  • A promoter packet with production requirements and selected files
  • A tour-wide routing packet for outside partners

Access Policies

Booklets support several access modes:

Use public links for low-risk logistics, password protection for broader external sharing, and recipient-only access when the booklet contains personal or sensitive details.

Sharing with Crew and Email Recipients

The share page can push a booklet to crew members with email addresses and send invitations to additional email recipients. It also shows sharing history so you can see who was invited.

Recipient-only booklets require unresolved recipients to verify access before viewing.

Templates

If you reuse the same booklet structure, save it as a template. Templates help you standardize what gets shared for common workflows such as promoter packs, venue packs, or crew day sheets.

Shared With Me

The Shared with Me page collects booklets that were shared with your account. Use it when you need to find a booklet without searching through email.

Change Updates

When tracked event details change, tour-flow queues booklet update information for affected booklets. Review booklets after important edits so recipients see current schedules, contacts, documents, and production details.
