Calendar & iCal Feeds
View tours, events, travel days, off days, and deadlines in one calendar.
Calendar & iCal Feeds
The calendar brings tour schedules and project deadlines into one shared view. Use it to check routing, spot busy periods, and keep external calendars in sync.
Calendar View
The calendar includes the workspace items you have permission to view:
| Item | What it shows |
|---|---|
| Tours | Multi-day tour windows |
| Events | Show days, festivals, and one-off performances |
| Travel days | Routing days between shows |
| Off days | Rest, buffer, or non-show days |
| Project deadlines | Card and subtask due dates from project boards |
Calendar entries link back to the related tour, event, day, or project item so you can jump straight into the source record.
Routing Checks
Use the calendar alongside tour timelines to check:
- Back-to-back shows
- Long travel blocks
- Off-day buffers
- Project deadlines that collide with show days
- Events that are still pending or need advancing
iCal Feeds
If your plan includes iCal feeds, you can create subscribable calendar links for Apple Calendar, Google Calendar, Outlook, or other calendar apps.
Each feed can be enabled or disabled, copied, edited, or deleted from the calendar page.
Feed Scope
When creating a feed, choose which workspaces it should include. The feed URL only exposes calendar items from the selected workspaces and follows the access rules of the user who created it.
Subscribing Externally
Copy the feed URL and add it as a subscribed calendar in your calendar app. Subscribed calendars update from tour-flow automatically, but the refresh interval depends on the external calendar app.
Best Practices
- Create separate feeds for different teams if they should not see the same workspaces
- Disable feeds you no longer use instead of sharing old links
- Use project due dates for production deadlines that need to appear next to tour dates
- Keep travel and off days current so external calendars show the full routing, not only show days
