Documents & Files
Upload, organize, and manage tour documents and files.
Document Management
tour-flow provides cloud-based document storage for tour files, event files, project files, and files shared through chat or booklets.
Uploading Files
You can upload documents at the tour level, event level, and in supported project workflows:
- Tour-level documents are accessible across all events on the tour
- Event-level documents are specific to a single show
- Project documents keep files attached to project work
How to Upload
- Navigate to the tour or event
- Open the Documents section
- Click Upload or drag and drop files
- Files are uploaded directly to cloud storage with progress tracking
Supported File Types
- Documents — PDF, DOCX, XLSX, TXT
- Images — JPG, PNG, GIF, SVG
- Audio — MP3, WAV
- Other — any file type your team needs
Document Categories
Files can be categorized for easy organization:
| Category | Examples |
|---|---|
| Contracts | Venue contracts, performer agreements |
| Riders | Technical riders, hospitality riders |
| Technical | Stage plots, input lists, lighting plots |
| Marketing | Press kits, promotional materials, logos |
| Financial | Settlements, invoices, receipts, tax records |
| Other | Anything that doesn't fit above |
Documents in Booklets
Booklets can include selected documents. This lets you share the right files with external recipients without exposing the full workspace document set.
For example, an event booklet might include the latest stage plot and parking map, while a tour booklet might include a routing document or master rider.
Chat Attachments
Chat attachments are useful for fast conversation context. Use the Documents area for final reference files that should stay organized with a tour, event, or project.
Cloud Storage
Documents are stored securely in cloud storage with:
- Direct upload via presigned URLs (fast, no server bottleneck)
- Persistent storage — files are available for the life of the tour
- Access control — only workspace members can view documents
- Scoped sharing — selected files can be exposed through booklets when you choose to include them
Best Practices
- Upload riders and tech specs early in the advancing process
- Keep contracts organized at the tour level for easy reference
- Attach venue-specific documents (stage plots, parking maps) to individual events
- Use consistent naming conventions for easy searching
