Manage shows, festivals, and performances with detailed day sheets.
Event Management
Events represent individual shows, festivals, or performances on a tour. Each event functions as a comprehensive day sheet for your crew and a hub for show-specific work.
Creating an Event
Go to Events and click Create Event.
When you select a tour, the event automatically inherits the tour's crew, production, and notes templates.
Event Fields

Schedule
The chronological timeline for the day:
- Bus call / lobby call
- Travel and arrival
- Load-in
- Soundcheck
- Doors
- Support acts and changeovers
- Headliner
- Curfew
- Load-out
Use event schedule tools to add one item at a time, duplicate proven structures from templates, and keep the day in chronological order.

- Venue name and address

- Stage dimensions and power
- WiFi credentials
- Curfew restrictions
Accommodation
- Hotel name and address
- Check-in and checkout times
- Room assignments or notes
- Breakfast details
Contacts
Key contacts for the day:
- Venue production manager

Crew
The crew list for this specific event, inherited from the tour template and customized as needed. You can:
- Add local crew members
- Remove unavailable touring crew
- Update roles and contact info
Production
Production specifications for this venue, inherited from the tour template. Adjust for venue-specific limitations or requirements.
If advance forms are available on your plan, you can collect production information from venue or promoter contacts and use it to update the event.
Notes
Any additional information for this event — special requests, press obligations, merch setup notes, weather alerts for outdoor shows.
Documents
Files attached to this event — contracts, riders, stage plots, or any other relevant documents.
Guest List
Track guests for the event, including names, party size, notes, and check-in state.
Rundown or Setlist
When the event has a show start and your plan includes the rundown manager, the event can include a rundown or setlist tab with ordered items, timing, department notes, and live-show tracking.
Email Memory
When enabled, event email memory stores relevant correspondence inside the event and highlights extractable information such as venue details, contacts, and schedule times.
Financials
When enabled, event financials track income, expenses, VAT, currencies, and event-level net totals.
Booklets
Create event booklets when you need to share a curated day sheet with crew, venues, promoters, or external partners. Select which sections and documents should be visible, then share by link, password, private workspace access, or recipient-only invitation.
Event Chat
If chat is enabled, use event chat for show-day updates, questions, and decisions. Event chat stays attached to the event so context is easier to find later.
Event Status
| Status | Meaning |

| Pending | Show is tentative, not yet confirmed |
| Confirmed | Show is locked in |

Map Integration
Events with venue addresses are automatically geocoded and displayed on an interactive map, making it easy to visualize your tour routing.
