Financials
Track tour and event income, expenses, VAT, currencies, and summaries.
Financials
Financials help you track income and expenses directly on tours and events. If your plan includes financials, a Financials tab appears on supported tour and event detail pages.
Event Financials
Use event financials for show-specific income and expenses:
- Guarantees
- Ticket settlements
- Merchandise income
- Local costs
- Travel costs
- Hotels
- Production rentals
- Crew or supplier expenses
Event financials are organized into income and expense categories. Each category contains line items with description, amount, VAT rate, and notes.
Tour Financials
Tour financials combine tour-level income and expenses with event-level summaries.
The tour financials view includes:
- Grand income, expense, and net totals
- Tour-level income categories
- Tour-level expense categories
- Per-event income, expense, and net rows
- Net and gross views depending on the selected VAT mode
Use tour-level categories for costs or income that are not tied to one specific event.
Categories and Line Items
Financial sections are built from categories and line items:
| Level | Example |
|---|---|
| Income category | Guarantees, merch, sponsorship |
| Expense category | Travel, hotels, production, crew |
| Line item | One actual amount inside a category |
You can add, rename, reorder, and delete categories. You can add, edit, reorder, and remove line items inside a category.
VAT Modes
Financials support net and gross amount entry. The active VAT mode controls how amounts are entered and displayed:
| Mode | Behavior |
|---|---|
| Net | Enter net amounts and calculate gross using the VAT rate |
| Gross | Enter gross amounts and calculate net using the VAT rate |
VAT presets help teams reuse common tax rates without retyping them.
Currencies and Defaults
Financial defaults can define:
- Currency
- Net or gross entry mode
- Default VAT rate
- VAT rate presets
Defaults can come from the workspace or the user profile. New financial line items use those defaults unless you change the values.
Permissions
Viewing and editing financials follows the same tour and event permissions as the related workspace. Users without access to a tour or event cannot view its financial data.
Best Practices
- Track event-specific costs on the event so tour summaries stay accurate
- Use tour-level rows for overhead or income that spans the whole tour
- Keep category names consistent across events for easier comparison
- Set financial defaults before entering large batches of line items
