Project Management
tour-flow includes Kanban-style project boards for managing work beyond tour logistics — merch production, marketing campaigns, equipment procurement, advancing work, or any project your team needs to track.
Creating a Project
Navigate to Projects in the sidebar and click Create Project.
Project Fields

Kanban Boards
Each project has a Kanban board with customizable columns. The default setup includes:
- To Do — tasks that haven't started
- In Progress — tasks currently being worked on
- Done — completed tasks
You can add, rename, reorder, or remove columns to match your workflow.
Cards
Cards represent individual tasks or items on the board.
Card Features
- Title — what needs to be done
- Description — rich text editor for detailed information
- Assignee — who's responsible
- Due Date — deadline
- Subtasks — break larger tasks into checkable items
- Comments — team discussion on the card
- Labels — categorize and filter cards
- Documents — attach files when the project requires reference material
Drag & Drop
Cards can be dragged between columns and reordered within columns. This makes it easy to update task status during team meetings or as work progresses.
Team Collaboration
Projects support role-based collaboration:

| Owner | Full control, can delete the project |
| Admin | Manage columns, cards, and members |
| Editor | Create and edit cards, add comments |
| Viewer | Read-only access to the board |
Invite team members to specific projects — they don't need access to the entire workspace.
Linking Projects to Tours and Events
Projects can be linked to tours or events. Use links when a board supports a specific production:
- A merch project connected to a tour
- A marketing board connected to a festival event
- An advancing checklist connected to a show
- A technical prep board connected to a tour leg
Linked projects remain separate boards, but the relationship makes navigation and context clearer.
Calendar Deadlines
Project card and subtask due dates can appear in the calendar alongside tours, events, travel days, and off days. This helps production deadlines stay visible next to the live schedule.
Project Chat
If chat is enabled, use project chat for project-specific decisions and updates. This keeps board conversations separate from tour or event chats.
