Tours

Create and manage tours with templates for crew, production, and notes.

Tour Management

Tours are the top-level organizing unit for tour management in tour-flow. A tour contains events, templates, travel days, off days, documents, booklets, chat, and financials when those features are available on your plan.

Creating a Tour

Navigate to Tours in the sidebar and click Create Tour.

Tour Fields

Tour Templates

Templates define the default data that every new event on this tour can inherit.

Crew Template

Define your touring crew at the tour level. When a new event is created, it copies this crew list as a starting point. Categories include:

  • Management — Tour Manager, Production Manager, etc.
  • Band — Musicians, vocalists, and technicians
  • Crew — Sound, lighting, stage, and backline techs
  • Helpers — Runners, merch sellers, assistants
  • Hands — Local stagehands (typically varies per event)

Production Template

Create production cards that describe your standard technical requirements. These are copied to each event and can be customized per-venue.

Notes Template

Add recurring notes, tour policies, or reference information that should appear on every event by default.

Hotel Room Template

Build reusable rooming patterns at the tour level. Event, travel day, and off day hotels can apply these templates so room assignments stay consistent.

Schedule Templates

Store standard tour-level schedules and reuse them when building events, travel days, and off days.

Template Propagation

When you update a tour template after events already exist, you can propagate the changes:

  • Push crew template changes to all events
  • Push production template changes to all events
  • Push notes template changes to all events
  • Push hotel room template changes where supported

Each event keeps its own copy of the data, so propagation overwrites the event's current data with the updated tour template.

Tour Overview

The tour detail page shows:

  • Event timeline — all shows in chronological order
  • Tour stats — number of events, confirmed vs. pending
  • Crew template — your default crew list
  • Production template — your default production specs
  • Schedule templates — reusable day timelines
  • Hotel room templates — reusable rooming patterns
  • Travel days — logistics between shows
  • Off days — rest and buffer days
  • Documents — tour-level files available across the tour
  • Booklets — shareable tour packets
  • Financials — tour-level income, expenses, event summaries, and net totals when enabled
  • Linked projects — project boards connected to the tour

Linked Projects

Tours can be linked to projects. This is useful when a tour has related workstreams such as merch production, marketing, advancing, or equipment prep. Linked projects remain project boards, but the relationship makes it easier to navigate between touring logistics and project work.

Tour Chat

If chat is enabled, use tour chat for routing, staffing, policy, and other decisions that affect the whole tour.

Tour Status

Changing tour status doesn't automatically affect event statuses — events are managed independently.
