Introduction
Welcome to the tour-flow documentation. Learn how to manage tours, events, crews, and projects.
tour-flow Documentation
tour-flow is the operating system for live touring. It brings tour management, crew coordination, event planning, and project tracking into a single platform built for the live entertainment industry.
What is tour-flow?
tour-flow replaces the spreadsheet sprawl, email chains, and scattered PDFs that most touring operations rely on. Everything your tour needs lives in one place:
- Dashboard β See upcoming work, live events, active tours, projects, and workspace activity from one starting point
- Tour Management β Create tours with reusable templates for crew, production, notes, hotels, and schedules
- Event Management β Plan shows with day sheets, venue details, schedules, guest lists, booklets, and crew assignments
- Crew Coordination β Build categorized crew lists and reuse contacts from the crew library
- Project Boards β Kanban-style boards for merch, logistics, production, and any project
- Document Management β Upload and organize contracts, riders, stage plots, settlement files, and more
- Travel Planning β Dedicated travel day and off day management
- Booklets β Share curated tour and event information with crew, venues, promoters, and external partners
- Calendar β View tours, events, travel days, off days, and project deadlines together
- Chat β Keep workspace, tour, event, project, and direct conversations close to the work
- Financials β Track tour and event income, expenses, VAT, currencies, and summaries when enabled for your plan
- Notifications β In-app alerts and configurable email digests
Core Concepts
Workspaces
Everything in tour-flow is organized into workspaces. A workspace can represent a management company, a band, a production company, or any team.
Each workspace can enable:
- Tour Management β tours, events, crew, travel days
- Project Management β Kanban boards with team collaboration
- Both β unified workspace with all features
Templates
tour-flow's template system is the foundation of efficient tour management. Define your crew lists, production specs, notes, hotel room templates, and schedule templates at the tour level, and every new event inherits them automatically. Customize per-event as needed.
Global template libraries also let you reuse schedule and production setups across many tours.
The Tour-Event Hierarchy
- Create a Tour β define templates (crew, production, notes)
- Add Events β each event inherits the tour's templates
- Customize β adjust inherited data for each specific show
- Propagate β push tour-level changes to existing events when needed
API
tour-flow provides a public REST API for programmatic access to your workspace data. Automate workflows, build integrations, or connect external tools.
- Interactive API Reference β browse endpoints, schemas, and try requests live
- Generate API keys in Settings > API Keys
API access is plan-gated and rate-limited. API keys are scoped to a workspace and should be stored securely.
