Use this crew call sheet template to share event location, department calls, contacts, schedule, access, safety, transport, and update rules.

A crew call sheet tells each person when and where their work begins, who they report to, and what they need before arrival. It is narrower than a full day sheet and should be faster to scan.
Use this crew call sheet template for concert touring, festivals, corporate events, rehearsals, and one-off production days.
Event Header
Include:
- Event, artist, or production name
- Date and city
- Venue name
- Public address and production entrance
- Weather or outdoor conditions where relevant
- Last-updated time
- Current call-sheet owner
If the production crosses midnight, label the operational date clearly so a 00:30 call is not mistaken for the following night.
Department Call Times
Do not reduce the call sheet to one generic crew call. List the teams that actually start at different times:

Add the department lead and meeting point for each call.
Access and Arrival Instructions
The call sheet should answer how a person enters the site:
- Staff or production entrance
- Parking and vehicle restrictions
- Public transport or pickup point
- Credential collection
- Required ID
- PPE or workwear
- Bag or security procedure
- Where to wait if early
A correct venue address is not enough when crew access is on another street.
Key Contacts
Publish role, name, and contact method for the tour manager, production manager, stage manager, venue production, security lead, transport, and emergency escalation.
Do not share every crew member's private details on a broadly distributed sheet.
Schedule Summary
Include the milestones that affect the crew:
- Load-in
- Safety briefing
- System checks
- Soundcheck or rehearsal
- Meal breaks
- Doors
- Performance blocks
- Curfew
- Strike and load-out
- Expected release
Link to the full production schedule when department-level detail would make the call sheet unreadable.
Safety and Working Conditions
Call out hazards, required PPE, weather exposure, working-at-height rules, emergency meeting point, first aid, and site-specific restrictions. Keep formal safety documentation attached or linked, but do not omit the immediate instruction.
Change and Acknowledgement Rules
State where the current call sheet lives and how changes are announced. If a call moves:
- Update the authoritative schedule.
- Notify the affected department.
- Ask for acknowledgement when the change is critical.
- Avoid circulating a second unnamed PDF.
